members, ensure only employees were members of ‘Company Only Subworkspaces’,
submit requests for ‘new’ Privia user accounts, troubleshoot Privia issues,
remove subcontractors and consultants from Privia workspace when the proposal
is submitted, and if the Graphics Artist is not a Proposal Center employee,
ensure they publish final ‘source’ files and final jpg/png files in Privia.

in preparation for Gold Review’; advise the team where they are to work new
documents and that they should be published in the same place; and remind the
Team to back up 04 Proposal Working files to Privia by COB each working day

Maintain the 02 Admin folder documents,
including Contact list, Proposal Information Sheet for Production team to use
for compliance check.

Provide visitors with instructions on how to
map to Proposal Center printers; and request a badge, as required.
§
Develop and maintain Graphics tracking log;
Ensure each graphic has a title and action caption before Red Team; perform
quality control by running spell check

DTP to prepare an acronym list for the Red and Gold Team review; validate
information.

appropriate folder under the ‘07 Review Snapshots’ folder, i.e.
inbrief/outbrief slide decks, copy of Sections L, M and SOW/PWS and Q&As;
Compliance Matrix; Master Outline, review materials, Privia ‘Comments’ Excel
spreadsheet, etc.

Produce 2-3 copies of the entire proposal and
solicitation to have in the review room for the ones that prefer to be
in-house instead of remote

Train new Privia users; hand out the training
materials that I created

Ensure reviewers do not retain proposal
documents at completion of review meeting

Track disposition of comments’ in the
‘Comments’ Excel spreadsheet in Privia

Immediately coordinate with Production Lead
when there are schedule changes

Post Red Team recovery, initiate Production

Remove all access and transfer ownership of
proposal files to the assigned editor

Monitor and track file transfer to DTP when
editing is complete. (DTP will create the master file template and move all

Manage Gold Team Review and recovery

Coordinate with DTP to confirm ‘final’ files
are sanitized and pdf/doc files are set to view at 100%

Coordinate with Production Lead to produce
delivery and back up binders; copy files to CD/DVDs and test; scan for
viruses; create delivery label(s) and receipt; package, etc.

Manage Book Check, including checking page
count against requirements, checking Cover Sheets, Binder Covers, headers /
footers; conduct page by page turn; and proof final Gold Team
changes/modifications
